Membership Terms & Conditions

At Wolflife Academy, we believe in being transparent and making our membership policies clear and easy to understand.
The following Membership Terms & Conditions apply to all members of the Academy and help ensure fairness, consistency and clarity for everyone.
These Membership Terms & Conditions ("Terms") apply to all members of Wolflife Academy ("the Academy", "we", "us", "our"), including child memberships entered into by a parent or legal guardian. By joining Wolflife Academy, you acknowledge that you have read, understood, and agree to be bound by these Terms.
Definitions
In these Terms:
Academy means Wolflife Academy.
Member includes the parent or legal guardian where a child membership applies.
Membership means an active membership agreement with the Academy.
Suspension means a temporary pause of an active membership approved by the Academy.
1. Membership
1.1 Memberships are ongoing and continue until cancelled in accordance with these Terms.
1.2 Membership fees are payable via direct debit and are billed in advance.
1.3 Memberships are personal to the registered member and cannot be transferred, shared or assigned to another person.
1.4 The Academy reserves the right to amend class schedules, instructor allocations, programs, operating hours, and membership offerings where reasonably required.
2. Academy Rules and Member Conduct
2.1 Members and parents/guardians agree to comply with all Academy rules, policies, and instructions provided by coaches and staff.
2.2 Members must always conduct themselves in a respectful and safe manner.
2.3 The Academy reserves the right to suspend or terminate a membership where it reasonably considers it necessary to protect the safety, wellbeing, culture, operations, or interests of the Academy, its members, staff, or visitors.
2.4 No refund or credit will be provided where a membership is suspended or terminated due to a breach of these Terms or Academy rules.
3. Health, Safety and Assumption of Risk
3.1 Brazilian Jiu Jitsu, wrestling, fitness training, martial arts activities and Academy events involve inherent risks of injury.
3.2 Members participate voluntarily and accept the risks associated with training and participation in Academy activities.
3.3 Members (or parents/guardians on behalf of child members) warrant that they are physically fit to participate in Academy activities.
3.4 Members are responsible for informing the Academy of any medical condition, injury, or change in health status that may affect participation.
3.5 In the event of injury or medical emergency, the Academy is authorised to provide first aid and/or seek emergency medical assistance where reasonably necessary.
4. Waiver and Release
4.1 Members acknowledge that participation in Brazilian Jiu Jitsu, wrestling, martial arts, fitness training, competitions, seminars, grading events, open mats, demonstrations, social events, and any activities conducted or organised by the Academy involves inherent risks, including but not limited to physical injury, permanent disability, illness, property damage, emotional distress, and in rare circumstances, death.
4.2 Members voluntarily assume all risks associated with participation in Academy activities.
4.3 To the fullest extent permitted by law, members release and discharge the Academy, its directors, owners, coaches, instructors, employees, contractors, volunteers, and representatives from claims, demands, losses, liabilities, damages, costs, or expenses arising from participation in Academy activities, except where such liability cannot lawfully be excluded.
4.4 Members agree to indemnify and hold harmless the Academy and its representatives from claims arising from the member’s own acts, omissions, conduct, negligence, or breach of these Terms.
4.5 Parents or legal guardians entering into this agreement on behalf of a child acknowledge and accept these risks on behalf of the child and consent to the child's participation in Academy activities.
5. Membership Fees and Payments
5.1 Membership fees are paid in advance via direct debit.
5.2 Failure to attend classes does not relieve a member of their obligation to pay membership fees.
5.3 If a payment is declined or dishonoured, the Academy may suspend membership access until all outstanding fees have been paid.
5.4 The Academy reserves the right to recover any reasonable costs incurred in collecting overdue membership fees.
5.5 Membership fees may be reviewed from time to time. Members will receive at least thirty (30) days notice of any fee increase.
6. Suspension (Membership Hold)
6.1 A suspension (hold) temporarily pauses attendance and membership access but does not terminate the membership agreement.
6.2 Suspension requests must be submitted in writing via email with a minimum of three (3) days notice prior to the requested suspension start date.
6.3 The minimum suspension period is one (1) week.
6.4 Members may suspend their membership for a maximum cumulative period of three (3) months per calendar year unless otherwise approved by the Academy in writing.
6.5 A restart date must be provided at the time a suspension is requested. Membership payments will automatically recommence on the nominated restart date.
6.6 A membership hold fee of $5 per week of the approved suspension period applies during any approved suspension. The applicable fee will be calculated by the Academy based on the approved suspension period and will be added to the member's next scheduled direct debit unless otherwise advised by the Academy. The membership hold fee contributes to the administrative costs of processing membership suspensions and maintaining the member's place and membership pricing during the approved suspension period.
6.7 Where a member is unable to train due to a medical condition, the Academy may approve an extended suspension period and waive the suspension fee upon receipt of satisfactory supporting medical documentation. The Academy reserves the right to request additional supporting documentation where reasonably required.
6.8 Suspension periods do not replace, reduce, satisfy, or run concurrently with any required cancellation notice period.
6.9 The Academy reserves the right to approve, decline, shorten, extend, or otherwise vary any suspension request at its discretion. Where a suspension period is amended after approval, the applicable suspension fee may also be adjusted accordingly.
7. Cancellation of Membership
7.1 Membership cancellations must be submitted in writing via email to hello@thewolflife.com.au.
7.2 A minimum of forty-five (45) days written notice is required to cancel a membership unless otherwise approved in writing by the Academy.
7.3 Cancellation notice periods apply only to active memberships where membership billing is in effect.
7.4 A suspension (hold) cannot be used to satisfy, offset, reduce, replace, or overlap a cancellation notice period.
7.5 Membership fees remain payable throughout the cancellation notice period. Members may continue to attend classes and access all membership benefits during this period unless otherwise agreed by the Academy.
7.6 Any outstanding membership fees or charges remain payable after a cancellation request has been submitted.
7.7 The Academy may, at its discretion, approve a reduced notice period or immediate cancellation as a gesture of goodwill. Any such approval:
Is discretionary;
Does not create a precedent;
Does not waive the Academy's rights under these Terms; and
Does not alter these Terms for any other member.
8. Termination of Membership
8.1 The Academy may cancel a membership immediately where:
These Terms are breached;
Membership fees remain unpaid;
A member engages in unsafe, abusive, disruptive, threatening, or inappropriate conduct;
Continued participation is considered detrimental to the Academy, its members, staff, or visitors.
9. Class Timetable and Service Availability
9.1 The Academy may amend class timetables, instructors, programs, or operating hours from time to time.
9.2 While every effort will be made to provide continuity of services, the Academy does not guarantee that any specific instructor, class, timetable, or training format will always be available.
9.3 Temporary closures due to public holidays, maintenance, emergencies, competitions, seminars, grading events, staff leave, facility issues, or circumstances beyond the Academy's reasonable control do not entitle members to refunds unless otherwise determined by the Academy.
10. Personal Property
10.1 Members bring personal belongings to the Academy at their own risk.
10.2 The Academy accepts no responsibility for loss, theft, or damage to personal property except where required by law.
11. Privacy
11.1 The Academy collects and stores personal information for the purpose of managing memberships, communications, billing, events, and Academy services.
11.2 Personal information will be handled in accordance with applicable privacy legislation.
12. Photography and Media Consent
12.1 The Academy may photograph, video record, or otherwise capture classes, events, competitions, seminars, gradings, and Academy activities for promotional, educational, marketing, or archival purposes.
12.2 By joining the Academy, members and parents/guardians consent to the use of such images and recordings unless the member or parent/guardian has notified the Academy in writing prior to participation.
12.3 Members acknowledge that no compensation, royalty, or other payment is payable in connection with the use of such photographs, videos, or recordings.
13. Changes to These Terms and Conditions
13.1 The Academy may update, amend, or replace these Terms and Conditions from time to time.
13.2 The most current version of these Terms and Conditions will always be available on the Academy website.
13.3 Where the Academy makes material changes affecting membership fees, suspension rights, cancellation rights, or other significant membership obligations, at least thirty (30) days notice will be provided via email, website notice, social media, or other reasonable means of communication.
13.4 Continued attendance, participation, or maintenance of a membership after the effective date of updated Terms constitutes acceptance of those updated Terms.
13.5 Members are encouraged to review the Academy's Terms and Conditions periodically to remain informed of any updates.
14. Discretion and Exceptions
14.1 Where the Academy grants an exception, concession, waiver, suspension extension, fee reduction, shortened cancellation period, or any other variation to these Terms, such decision is made entirely at the Academy's discretion.
14.2 Any exception or variation granted by the Academy does not create a precedent, entitlement, or expectation for any other member or future request.
15. Governing Law
15.1 These Terms and Conditions are governed by the laws of New South Wales, Australia.
By enrolling at Wolflife Academy, the member and/or parent or legal guardian acknowledges that they have read, understood, and agree to these Terms and Conditions.
